Inside Sales Administrative Assistant

Administrative & Customer Support
• Prepare and send proposals for customers and project bids in a timely manner.
• Track and record lost projects, canceled items, and customer changes.
• Answer and route customer calls for the Precast Division (Manholes, Box Culverts, T-Walls, Box Structures, and Special Products), offering technical assistance when needed.
• Communicate updates, requests, and sales information to outside representatives.
• Manage “walk-in” orders and resolve customer issues, ensuring all notes and updates are entered into Visual or Titan systems.
• Provide backup coverage for the receptionist during lunches or absences.
• Prepare letters, labels, envelopes, and other business correspondence as required.
• Send out literature, responses, and information to customers and engineers.
• Sort and distribute incoming mail.
• Assist the sales department with various administrative projects as needed.
Data Entry & Order Management
• Review incoming purchase orders for pricing accuracy and customer requirements such as delivery dates.
• Assign job numbers and enter new jobs into Visual and/or Titan.
• Update existing jobs with additional items, kits, or cost adjustments.
• Verify customer credit status, send applications, and issue credits or invoices as necessary.
• Prepare submittal packages and standard shop drawings for customer approval.
• Create and maintain work orders from approved drawings, including Bills of Materials.
• Enter “L” components into Visual from Titan takeoffs.
• Update orders with new customer account ID numbers provided by accounting.
• Review returned shop drawings and resubmit for approval when required.
Requirements:
- Salesforce CRM, Outlook, Online Construction Projects Software (ConstructConnect), Visual Manufacturing (ERP) Order Entry System, Titan (Order Entry System), Microsoft Office (Excel / Word)
- Switchboard, Photocopier, Fax machine, Calculator, Computer, Xerox Copier (Plans)
- Positive attitude and good communicator is essential
- Accuracy and attention to detail are essential
- Strong Data Entry Skills Required, required
- Excellent written and verbal communication skills
- High school diploma or GED
