Summary
We’re looking for someone who’s friendly, organized, and enjoys helping others to join our team as a Front Office Coordinator /Professional Practice Ambassador (PPA). In this role, you’ll be the first person patients see when they walk through the door—and their go-to support throughout their journey to better hearing. You’ll handle everything from front desk responsibilities and scheduling to keeping records organized and helping with marketing efforts. You'll be a key part of a supportive, tight-knit team that works together to make every patient feel valued and cared for.
Responsibilities
- Deliver an Exceptional Patient Experience
- Welcome and assist all patients and visitors with a warm, professional attitude
Support Daily Clinic Operations
- Manage the clinic schedule using online tools to ensure efficiency
- Assist with marketing efforts and track community outreach activities
- Keep patient files up to date and maintain an organized office environment
- Gather insurance information, verify coverage, and obtain necessary authorizations
- Maintain patient confidentiality and follow HIPAA guidelines
Handle Administrative and Financial Tasks
- Ensure compliance with third-party requirements and documentation
- Process deposits, manage insurance claims, and reconcile payments
- Prepare weekly financial reports and maintain accurate accounting records
- Check patients in and out, manage appointment flow, and track orders and daily reports
- Answer phone calls promptly and professionally, directing as needed
- Communicate clearly and compassionately to ensure a high level of patient satisfaction
What We’re Looking For
- A high school diploma or equivalent (preferred)
- 1–2 years of experience in customer service, a medical front desk, or retail setting
- Comfortable using computers and familiar with Microsoft Office
- Great attention to detail, strong organizational skills, and clear communication
- Able to handle confidential information with professionalism and care
- Experience in the hearing care industry is a plus—but not required; we provide training!
