Provide executive-level support to the Director of Systems & IT, including calendar management, meeting scheduling, and travel coordination.

Prepare and edit documents, reports, presentations, and internal communications for the IT team and external stakeholders.

Track project milestones, update timelines, and maintain documentation in project management software.

Organize and maintain digital records, files, and departmental systems for optimal accessibility.

Coordinate with vendors for service agreements, renewals, and contract administration.

Capture meeting minutes, draft agendas, and ensure timely follow-ups on action items.

Assist the IT service desk with ticket tracking and light technical coordination.

Collaborate with HR and IT on new hire onboarding—ensuring user account setup, asset allocation, and equipment readiness.

Act as a point of contact between the IT Director and internal/external stakeholders, managing communication with professionalism and confidentiality.

Oversee department-wide calendars, important deadlines, and general administrative functions.

Respond to internal and external inquiries on behalf of the Director as needed.

Coordinate logistics for events, meetings, and AV setups.

Uphold strict confidentiality regarding sensitive IT, employee, and company data.

Perform additional administrative duties as required to support departmental operations.

Excellent written and verbal communication skills

High proficiency in Google Workspace (Gmail, Docs, Sheets, Calendar) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Experience using project management platforms (e.g., ClickUp, Asana, Trello)

Comfort with IT ticketing systems (e.g., FreshService, Zendesk) and asset tracking tools
