Accounts Payable/Billing Administrator 

 

Pay Rate: $18.00/hr to $20.00/hr (Depending on Experience) 

 

Position Timeframe: 5-6 months (Contract) 

 

Schedule: Monday - Friday 7:00AM to 4:00PM 

 

 

Objective: 

 

We are currently seeking a detail-oriented and experienced Accounts Payable / Accounts Receivable Specialist to join our team. The ideal candidate will have a minimum of 3 years of experience in both AP and AR functions. Prior experience using ServiceTitan is highly preferred.

The successful candidate will be highly organized, self-motivated, and possess excellent attention to detail and data entry skills. Strong communication and customer service abilities are essential, as this position involves regular interaction with vendors, customers, the Service Manager, and the Controller.

Key Responsibilities:

  • Accurately enter vendor and customer invoices into the ServiceTitan accounting system

  • Audit and review invoices prior to routing for approval

  • Ensure all invoices are properly approved by department managers and service estimators

  • Maintain monthly oversight of the service department’s accounting progress

  • Set up new vendor accounts and request W-9 forms

  • Review service invoices for accuracy in contract rates, tax application, and job costing

  • Review vendor invoices for tax compliance, job references, and personal tool purchases

  • Upload completion documents (e.g., photos, sign-off sheets, resolution notes) to customer portals

  • Prepare and send technician video recordings to customers as needed

  • Provide support by answering incoming calls, scheduling service appointments, and assisting customers with inquiries related to invoices and job records

Qualifications:

  • Minimum 3 years of AP/AR experience required

  • Experience with ServiceTitan strongly preferred

  • Proficient in Microsoft Office Suite, including Outlook, Excel, and Word

  • Strong organizational and multitasking abilities

  • Excellent verbal and written communication skills

  • Customer service experience is required
