Job Full Description

The Customer Service Representative will:

 

  • Ensure that the policies and procedures OF COMPANY are carried out in a manner consistent with the goals and objectives set down by the CEO and President.
  • Maintain solid customer service relationships by handling questions and concerns with speed and professionalism.
  • Work within a goal-oriented team environment.
  • Report directly to the Office Manager.

 

Key Responsibilities:

 

Telephone

  • Receive and route incoming calls. This will involve taking phone messages, screening calls and asking questions to determine customer needs.
  • Answer customer questions and concerns pertaining to orders, shipments, pricing and product information.
  • Look up and present customer discounts, credit lines, and account history.
  • Answer technical product questions, assist regional sales managers, and take literature requests.

 

Email/Correspondence

  • Mail, fax, or email invoices to our customers daily.
  • Match and verify all purchase orders, packing slips and invoices.
  • Analyze, verify, and allocate freight bills.
  • Provide project-based support for various departments will require filing, copying, correspondence, decaling products, and other tasks as assigned.

 

Data Entry

  • Process purchase orders through invoice data entry, posting and shipping.
  • Handle the posting and tracking of customer returns and warranty claims.
  • Prepare spreadsheets to track postage, shipping, inventory, and sales.
  • Maintain records of products stored out-of-house with our regional managers and dealers.
  • Ensure accuracy of order entry, customer information, and shipping addresses.

 

Research Skills

  • Troubleshoot customer problems through inquiry and research.
  • Obtain domestic and international freight quotes from various sources: UPS, FedEx, and shipping companies.
  • Plan shipping logistics required to get our product to the end-user.

 

 

Monthly/ Quarterly/ Annually

  • Communicate important and timely sales information regularly with members of the Tempest Technology management and sales teams.
  • Maintain custom reports for accounting, management, and the sales team including monthly and quarterly sales reports, shipping and postage.
  • Assist in month-end closing of the accounting records.
