Solar Customer Service Coordinator / Data Entry professional to support our solar operations team. This role involves coordinating service schedules, processing data and invoices, and maintaining strong communication with customers and vendors. You will play a key role in delivering a high level of customer satisfaction while supporting back-end operations to ensure service excellence.

Key Responsibilities:

Customer Service Tasks

  • Serve as a primary point of contact for customer service inquiries and scheduling.
  • Answer inbound phone calls and voicemails; ensure all messages are returned daily.
  • Provide daily follow-up on customer emails and inquiries.

Technician Scheduling

  • Coordinate and optimize daily technician schedules.
  • Create job packets and support documentation for technician visits.
  • Research and document information related to prior site visits.

Data Entry & Documentation

  • Accurately enter job and customer data into CRM and tracking systems.
  • Create additional work orders as needed.
  • Maintain weekly Case Site Visit Pending Report
  • Prepare daily invoices to customers, vendors and manufacturers
  • Maintain accurate records of all roof leak-related activities

Inventory & RMA Coordination

  • Conduct inventory checks at least monthly.
  • Manage RMA receiving and ensure items are labeled and placed in the ready-for-scheduling bay.
  • Coordinate RMA returns and related emails as needed.
  • Organize recycling of inverters and other equipment.

Customer Follow-Up & Feedback

  • Follow up with customers post-visit to ensure satisfaction.
  • Monitor and support client feedback platforms including:
    • Yelp
    • BBB
    • Google Reviews

Qualifications:

  • 2+ years in a customer service or coordinator role (construction industry a plus)
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office, Google Workspace, and CRM platforms
  • Detail-oriented with a high level of accuracy in data entry
  • Ability to manage multiple priorities and meet deadlines
  • Positive attitude and commitment to providing top-tier customer service
