POSITION: Temporary Service Office Administrator

Position Summary

Express is currently recruiting for a temporary Service Office Administrator to cover a maternity leave. This individual will perform all shop office duties in an accurate and efficient manner to support mechanics, supervisors, and customers.

Essential Functions

  • Open and close shop work orders

  • Process mechanic labor in automated time system

  • Answer phones and direct calls within the department

  • Input and update job data in internal systems

  • Process warranty paperwork and handle reports

  • Research repair information for internal teams and customers

  • Manage incoming and outgoing service mail

  • Process purchase orders

  • Oversee day-to-day operations of the service office

  • Maintain and update service procedures and performance standards

  • Ensure accuracy of division sell rates

  • Perform other duties as assigned

Qualifications

  • High school diploma or GED required

  • Five (5) years of related experience preferred, or an equivalent combination of education and experience

Skills & Abilities

  • Proficient in reading and interpreting safety rules, procedures, and operating instructions

  • Strong verbal and written communication skills

  • Competent in basic math, percentages, and ratios

  • Analytical skills for problem-solving and drawing valid conclusions

  • Ability to interpret technical documents and adapt to varying scenarios

  • Professional, businesslike demeanor at all times

  • Must be computer literate

Physical Requirements

  • Must be able to stand, walk, use hands, reach, stoop, kneel, crouch, crawl, talk, and hear regularly

  • Must frequently lift and/or move up to 100 lbs; occasionally lift more than 100 lbs

  • Requires good vision including close, distance, color, and depth perception

Work Environment

  • The role may involve working in environments that include movement around machinery, handling tools, and working with service technicians.
