Job Full Description
OVERALL OBJECTIVE: The Shipping Coordinator will be responsible to coordinate daily shipping/logistics activities for operations to satisfy all customer and supplier requirements. Oversee production and finished goods inventory levels.
REPORTS TO: General Manager
FLSA STATUS: Non-exempt
RESPONSIBILITIES: Primary duties to include but are not limited, to the following:
JOB RESPONSIBILITIES
I. CUSTOMER SERVICE:
a. Works closely and effectively communicates with Sales, Transportation, and Operations to exceed customer expectations e.g. collaborate with other departments and develop positive relationships with customers, suppliers, employees, and carriers.
b. Provides and maintains excellent customer service. Ensures customers and employees are highly regarded and receive exceptional service throughout all job responsibilities.
c. Develop relationships with existing customers to secure repeat orders.
d. Communicate updates to internal sales leadership and customer contacts in a timely manner to prevent increased costs and/or charges to either party.
e. Coordinate shipment details with customers and internal and external production and shipping teams.
II. LOGISTICS:
a. Accurate order entry and processing of documents (shipping instructions, Bills of Lading, etc.).
b. Follows or develops requirements for data capture (CRM), reporting, and analysis. Ensure that all daily orders are complete and correct.
c. Monitors, troubleshoots, and provides timely resolution on delivery exceptions daily rectifying issues with transit such as delivery times, shortages, and non-conformance.
d. Processes re-consignment or diversion actions as needed on shipments or deliveries. Planning and tendering loads to ensure on time delivery to customer. Monitor and address shipments in jeopardy of not meeting delivery standards.
a. Processes and provides freight quotes for truckload shipment. Review daily shipment plans to ensure that freight is booked and awarded based on customer needs and expectations.
b. Identify and analyze performance of key freight lanes, identify opportunities, and contribute to carrier relationship development and rate negotiation.
c. Be capable of using RTF (Real Time Freight) to post loads, pickups, and deliveries as needed
d. Ensures that materials are on-hand for all current and upcoming shipment needs. This includes bales, bricks, etc. to satisfy mixed loads to customers.
e. Review established production schedules to insure established inventory levels are met while operating at the highest efficiency possible.
f. Perform quality inspections as needed on customer shipments.
g. Reviews and ensures completeness for all shipping paperwork and activities.
h. Supports and trains shipping personnel (truck loaders, utility, etc.).
i. Verifies and processes incoming deliveries.
j. Other duties and projects as assigned, including participation in inventory counts and audits.
SAFETY
- Follows all safety rules and participates in safety training. Uses PPE as required for all tasks performed.
Physical requirements: Must be able to lift up to 40 lbs.
QUALIFICATIONS:
- H.S. Diploma with 2+ years of work experience within Customer Service, Logistics or Transportation required.
- Requires understanding of logistics transactions, processes, and documentation.
- Must have a customer-centric mind set with all contacts and ability to professionally and promptly respond to email and phone inquiries.
- Intermediate knowledge of Microsoft Office, including Excel, Outlook, Word, and ability to quickly learn company business systems; excellent computer skills.
- Ability to perform in a fast-paced environment with rapidly changing priorities and competing deadlines.
- High degree of initiative and independent execution.
- Ability to evaluate alternatives in order to make the best overall decisions based on KPI performance metrics, service requirements, freight needs, economical factors, customer relations and driver availability.
- Some knowledge of time/distance geography preferred
- Strong numerical and time management skills with attention to detail.
