Office Manager – Engineering Firm
Location: Gainesville, FL
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Employment Type: Full-Time
Position Overview
We are seeking an organized, detail-oriented Office Manager to oversee the daily operations of the firm. This position plays a vital role in ensuring the office runs efficiently while supporting accounting, human resources, recruiting, and administrative functions. The ideal candidate is a proactive leader with strong organizational skills, experience using QuickBooks, and the ability to manage multiple priorities in a professional environment.
Key Responsibilities
- Manage the day-to-day operations of the office to ensure efficiency and productivity.
- Supervise, coach, and support a team of four administrative employees.
- Utilize QuickBooks to post payments, and write checks
- Coordinate payroll processing and maintain accurate employee records.
- Assist with budgeting, purchasing office supplies, and vendor relationships.
- Coordinate low-volume recruiting and hiring efforts (approximately 5 new hires per year), including:
- Posting job advertisements
- Screening resumes
- Scheduling interviews
- Coordinating onboarding and new hire paperwork
- Maintain personnel files and assist with HR compliance and benefits administration.
- Develop and improve office procedures to enhance operational efficiency.
- Serve as the primary point of contact for vendors, clients, and office visitors.
- Support company leadership with administrative projects and reporting as needed.
Qualifications
- 3+ years of experience in an Office Manager, Administrative Manager, or similar leadership role.
- Intermediate proficiency with QuickBooks.
- Strong user of Microsoft Excel
- Previous supervisory experience managing administrative staff.
- Experience recruiting and hiring preferred.
- Excellent organizational, communication, and problem-solving skills.
- Strong computer skills, including Microsoft Office (Word, Outlook).
Preferred Qualifications
- Experience working in an engineering, construction, architectural, or professional services environment.
- Knowledge of basic HR practices and employment documentation.
- Experience working with payroll systems.
