Executive Assistant & Business Operations Coordinator
Location: Gainesville, FL
Salary: $60,000–$80,000 per year
Employment Type: Full-time, Direct Hire

About the Opportunity
A successful entrepreneur with a diverse national portfolio of businesses is seeking an exceptional Executive Assistant and Business Operations Coordinator to serve as his trusted right-hand professional.
The business portfolio includes automotive finance, automobile dealerships, towing operations, and real estate investments. This position will support a fast-paced business owner who regularly evaluates new opportunities, acquires companies, improves operations, and works closely with management teams across multiple locations.
This is not a traditional administrative position focused solely on managing a calendar and completing assigned tasks. The successful candidate will be expected to exercise sound judgment, recognize problems, investigate their causes, develop potential solutions, and make thoughtful recommendations.
When an issue arises, we are looking for someone who can say:
“I identified the problem, determined why it happened, evaluated the available options, and this is the solution I recommend.”
The right person will earn significant trust and autonomy by consistently demonstrating competence, discretion, initiative, and follow-through.
Responsibilities

Manage the executive’s calendar, appointments, priorities, meetings, and follow-up items.

Review, organize, draft, and respond to business correspondence.

Monitor email and other communications to identify matters requiring attention.

Track commitments, deadlines, projects, and decisions across multiple businesses.

Pay bills and coordinate routine personal and business financial obligations.

Generate, organize, and review operational and financial reports.

Identify irregularities, missing information, operational concerns, and unresolved action items.

Research problems, determine likely causes, evaluate possible solutions, and present recommendations.

Prepare meeting materials, reports, spreadsheets, summaries, and executive correspondence.

Provide administrative and project support to management teams across the business portfolio.

Coordinate information between the executive, accounting personnel, operating managers, vendors, and outside professionals.

Maintain accurate and confidential business and personal records.

Improve administrative systems, reporting processes, workflows, and communication methods.

Anticipate needs and resolve routine matters before they require executive involvement.

Support special projects, business acquisitions, and operational-improvement initiatives.

Handle sensitive financial, personnel, legal, and business information with complete discretion.
Qualifications

Five or more years of progressively responsible experience in executive support, office management, project coordination, business operations, or a comparable position.

Experience directly supporting a business owner, executive, or senior leadership team.

Exceptional critical-thinking and problem-solving abilities.

Ability to work independently with limited direction.

Strong judgment and the confidence to make well-reasoned recommendations.

Excellent organizational skills with the ability to manage multiple competing priorities.

Strong written communication and professional correspondence skills.

Proficiency with Microsoft Outlook, Word, Excel, and related business technology.

Ability to understand and interpret operational and financial reports.

High degree of accuracy when handling bills, schedules, records, and confidential information.
