Job Summary:

We are seeking a detail-oriented Administrative Assistant for an industrial client. In this role, you will be responsible for coordinating and overseeing various administrative tasks in the office. You will play a vital role in ensuring the efficient operation of our program by managing day-to-day assignments, organizing projects, and maintaining essential communications with internal and external stakeholders. Principal Job Duties and Responsibilities:

Operations:

  • Coordinate and lead assigned office projects, ensuring timely completion of daily tasks.
  • Organize, lead, and facilitate project-related meetings, including agenda creation and material preparation.
  • Develop reports as assigned by the Program Manager.
  • Initiate and maintain communication with internal and external stakeholders, such as vendors and logistic companies.
  • Coordinate with external logistic companies for the retrieval of recycled commodities.
  • Produce end-of-month reports for on-site clients, including data entry of recorded counts and weights.
  • Coordinate with internal vendors for the shipment of Export material.
  • Revise or update all Standard Operating Procedure (SOP) Manuals as needed.
  • Update/create employee files, and maintain Employee roster and attendance calendars.
  • Provide daily updates on existing spreadsheets/templates to the Leadership Team.
  • Handle incoming office calls and direct them to other Heritage site staff.
  • Organize, sort, and scan tracking paperwork into the filing system.

General Support:

  • Assist in the implementation and management of the site information board.
  • Assist in or prepare presentations as directed by the Program Manager.
  • Maintain positive relationships with customers and employees, addressing their concerns and issues.
  • Assist with the orientation and development of new associates.
  • Manage data streams effectively.
  • Assist in research and implementation of training for employees.
  • Arrange for equipment maintenance and repairs with office supply vendors.
  • Track and order office supply inventory.
  • Perform other duties as assigned by Supervisors, Program Manager, or Operations Manager.

Knowledge and Abilities:

  • Proficient in business writing and computer skills, including Excel, Outlook, and Word.
  • Excellent communication and relationship-building skills.
  • Strong attention to detail and superior time management skills.
  • Knowledge and understanding of various federal, state, and local industry-related regulations.
  • Bilingual (English/Spanish) preferred, but not required.
  • Ability to prioritize multiple projects and responsibilities for completion.
  • Flexibility with the schedule is a plus.
