Our client is seeking a Front Desk - Receptionist!!! 

Position Summary:

The Receptionist / Gatekeeper serves as the first point of contact for Underground Magnetics — both in person and over the phone. This role plays a key part in managing access to the office, directing visitors appropriately, and ensuring communication flows efficiently between customers, vendors, and internal teams. The ideal candidate is friendly, organized, and confident managing a fast-paced front desk while maintaining a high level of professionalism and discretion.


Key Responsibilities:

  • Greet and screen all visitors, customers, and vendors upon arrival; ensure sign-in and direct to appropriate staff.
  • Act as a gatekeeper for phone calls and walk-ins — prioritize, filter, and route inquiries to the correct department or team member.
  • Manage incoming calls, voicemails, and emails promptly and professionally.
  • Maintain visitor logs, security protocols, and confidentiality of company and customer information.
  • Oversee incoming and outgoing mail, deliveries, and shipping coordination.
  • Keep reception, lobby, and conference areas clean, organized, and welcoming.
  • Support scheduling and coordination of meetings, appointments, and conference rooms.
  • Provide administrative support to internal departments, including data entry, filing, and document preparation.
  • Maintain awareness of staff schedules and availability to assist with efficient communication flow.
  • Serve as an ambassador of the company’s professionalism, culture, and commitment to excellent customer service.

Qualifications:

  • High school diploma or equivalent required; additional administrative or business coursework preferred.
  • 1–3 years of experience in a receptionist, administrative, or front-office support role.
  • Excellent communication, interpersonal, and customer service skills.
  • Strong organizational skills and ability to manage multiple priorities.
  • Professional and confident demeanor — able to handle sensitive information with discretion.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and general office systems.
  • Reliable, proactive, and able to maintain composure in a busy environment.

Work Environment:

  • Standard office environment with consistent front-desk presence required.
