Job Full Description
We are seeking a reliable, detail-oriented Bookkeeper / Office Administrator to support our financial operations and administrative functions. This role is critical to maintaining accurate financial records, processing transactions, preparing basic financial reports, and helping to ensure smooth day-to-day office operations. The ideal candidate is organized, tech-savvy, and has a strong understanding of bookkeeping principles, combined with effective communication and administrative skills.
Required Skills and Abilities:
Bookkeeping & Financial Support:
· Record daily financial transactions including sales, purchases, and payments using accounting software (e.g., QuickBooks)
· Maintain accurate general ledger and supporting financial documentation
· Prepare and analyze financial reports including income statements and balance sheets
· Monitor accounts payable and receivable, process invoices, and track outstanding balances
· Follow up on overdue customer accounts and assist in collections as needed
· Support budget development and financial forecasting efforts
· Collaborate with departments to clarify financial data and resolve discrepancies
· Organize and prepare documentation for tax filings and year-end reporting
· Ensure adherence to accounting standards (GAAP) and compliance with applicable regulations
Office Administration:
· Provide general administrative support to leadership and operations teams
· Assist with scheduling, document preparation, and internal communication
· Maintain filing systems (physical and digital) for financial and operational records
· Answer phones, respond to emails, and provide customer service support as needed
· Monitor office supply levels and coordinate purchasing
· Help coordinate team meetings, calendar management, and other operational logistics
Hard Skills:
· Proficiency with accounting software (e.g., QuickBooks, Trimble, Sage, or similar)
· Strong knowledge of bookkeeping principles and general accounting practices
· Comfortable preparing and interpreting financial statements
· Accurate data entry and effective record-keeping
· Familiarity with tax basics and financial compliance requirements
· Proficiency with Microsoft Office (Excel, Word, Outlook)

Education and Experience:
Associate’s or Bachelor’s degree in Accounting, Finance, or related field (required)
Bookkeeping certification such as Certified Bookkeeper (CB) or Certified Public Bookkeeper (CPB) (preferred)
2+ years of experience in a bookkeeping, accounting assistant, or office management role
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 50 pounds at times.
