Termite & Pest Report Coordinator Schedule: Monday–Friday, 8:00 AM–5:00 PMWork Location: On-sitePosition Type: Full-Time Position Overview We are seeking a highly organized, detail-oriented, and customer-focused Termite & Pest Report Coordinator to manage the Wood Destroying Insect Report (WDIR) process from initial request through final delivery. This position is an important part of the real estate closing process and serves as the primary connection between real estate agents, customers, field technicians, and attorneys. The Coordinator is responsible for ensuring every report is accurate, complete, compliant, properly documented, and delivered before the closing deadline. Because WDIRs carry legal and financial importance, this is not a "close enough" position. Small errors or missed deadlines can impact a real estate closing. The ideal candidate takes pride in accuracy, follows established procedures, communicates proactively, and provides exceptional customer service. Key Responsibilities Receive WDIR requests and gather all required property, customer, agent, and closing information. Provide pricing, confirm inspection requirements, and obtain authorization before scheduling. Coordinate inspection requests with field technicians and ensure appointments are confirmed. Review technician findings for accuracy, completeness, and missing documentation. Work directly with technicians to resolve discrepancies before reports are finalized. Accurately prepare WDIRs in accordance with applicable state requirements and company procedures. Communicate findings, including wood-destroying insect activity or damage, professionally and clearly to the appropriate parties. Update documentation when repairs or additional work have been completed and verified. Deliver completed reports to agents, customers, and attorneys as appropriate before closing deadlines. Maintain organized, accurate, and audit-ready records for every file. Proactively communicate status updates, delays, findings, and next steps. Provide professional, responsive, and reassuring customer service, even when working under tight deadlines. Qualifications High school diploma or equivalent. Previous administrative, office, or customer service experience required. Experience in pest control, real estate, title/closing, legal, mortgage, property management, or another compliance-driven environment is strongly preferred. Exceptional attention to detail and the ability to identify errors or missing information. Strong written, verbal, telephone, and email communication skills. Excellent organization and time-management skills. Ability to independently manage multiple active files and firm closing deadlines. Comfortable following established procedures and regulatory requirements without shortcuts. Strong computer skills and ability to learn scheduling and reporting systems.
