Position Summary:

We are seeking a compassionate, organized, and detail-oriented Medical Office Assistant / Patient Care Coordinator to join our healthcare team. This role is responsible for providing front-office administrative support and ensuring a positive patient experience from check-in through follow-up care. The ideal candidate will be the first point of contact for patients and will coordinate all aspects of patient flow, communication, and documentation to ensure efficient and high-quality care delivery.


Key Responsibilities:

Administrative Duties:

  • Greet and check in patients with professionalism and care

  • Schedule, reschedule, and confirm appointments

  • Answer incoming calls, respond to messages, and route calls appropriately

  • Verify insurance coverage and obtain pre-authorizations as needed

  • Collect co-pays and process payments

  • Maintain accurate patient records and update information in the electronic medical record (EMR) system

  • Prepare charts and ensure documentation is complete prior to appointments

Patient Care Coordination:

  • Serve as a liaison between patients, providers, and clinical staff

  • Coordinate follow-up appointments, referrals, and testing

  • Educate patients on office procedures, policies, and pre/post-treatment instructions

  • Track patient outcomes and communicate with patients regarding care plans

  • Ensure timely and empathetic communication regarding delays, issues, or changes in treatment

Compliance and Office Support:

  • Maintain patient confidentiality in compliance with HIPAA regulations

  • Ensure waiting and exam areas are clean and well-stocked

  • Support clinical staff with administrative tasks as needed

  • Participate in team meetings and contribute to a culture of continuous improvement


Qualifications:

  • High school diploma or equivalent required; Associate’s degree or certificate in medical office administration preferred

  • Previous experience in a medical office or healthcare setting strongly preferred

  • Knowledge of EMR systems (e.g., Athenahealth, Epic, or similar)

  • Strong customer service and communication skills

  • Ability to multitask, prioritize, and maintain attention to detail

  • Understanding of medical terminology and basic insurance processes
