Position Summary:
We are seeking a compassionate, organized, and detail-oriented Medical Office Assistant / Patient Care Coordinator to join our healthcare team. This role is responsible for providing front-office administrative support and ensuring a positive patient experience from check-in through follow-up care. The ideal candidate will be the first point of contact for patients and will coordinate all aspects of patient flow, communication, and documentation to ensure efficient and high-quality care delivery.
Key Responsibilities:
Administrative Duties:

Greet and check in patients with professionalism and care

Schedule, reschedule, and confirm appointments

Answer incoming calls, respond to messages, and route calls appropriately

Verify insurance coverage and obtain pre-authorizations as needed

Collect co-pays and process payments
-
Maintain accurate patient records and update information in the electronic medical record (EMR) system

Prepare charts and ensure documentation is complete prior to appointments
Patient Care Coordination:

Serve as a liaison between patients, providers, and clinical staff

Coordinate follow-up appointments, referrals, and testing
-
Educate patients on office procedures, policies, and pre/post-treatment instructions

Track patient outcomes and communicate with patients regarding care plans

Ensure timely and empathetic communication regarding delays, issues, or changes in treatment
Compliance and Office Support:

Maintain patient confidentiality in compliance with HIPAA regulations

Ensure waiting and exam areas are clean and well-stocked

Support clinical staff with administrative tasks as needed

Participate in team meetings and contribute to a culture of continuous improvement
Qualifications:

High school diploma or equivalent required; Associate’s degree or certificate in medical office administration preferred

Previous experience in a medical office or healthcare setting strongly preferred

Knowledge of EMR systems (e.g., Athenahealth, Epic, or similar)

Strong customer service and communication skills

Ability to multitask, prioritize, and maintain attention to detail

Understanding of medical terminology and basic insurance processes
