Receptionist Job Description
A receptionist is the first point of contact for visitors and callers, responsible for creating a welcoming environment and ensuring smooth communication within the organization. Typical duties include:
- Greeting visitors and directing them to the appropriate person or department.
- Answering and routing phone calls in a professional manner.
- Managing appointments and schedules (often using calendar software).
- Handling incoming and outgoing mail and deliveries.
- Maintaining reception area to ensure it is tidy and presentable.
- Providing basic information to clients and visitors.
- Performing administrative tasks such as data entry, filing, and updating records.
Daily Responsibilities
- Open and prepare the reception area at the start of the day.
- Check voicemails and emails; respond or forward as needed.
- Greet and assist visitors promptly upon arrival.
- Answer calls, transfer to appropriate staff, or take messages.
- Schedule meetings and update calendars.
- Process incoming mail and packages; prepare outgoing mail.
- Maintain office supplies inventory for the front desk.
- Assist with basic clerical tasks (printing, scanning, copying).
- Close and secure reception area at the end of the day.
