Job Full Description

The Support Services Assistant must be able to respond to various customer inquiries and requests in a timely and professional manner, and to resolve customer issues within established guidelines, and to escalate complex problems to appropriate personnel when necessary.

 

The Support Services Assistant must be organized and can multi-task and change task priorities with little notice, while maintaining friendly and professional interaction with both internal and external customers and staff. The Support Services Assistant will function as the main back-up to the Receptionist when they are out of the office.

 

Essential Functions/Key Responsibilities

·         Set-up and Clean-up for hospitality functions across Campus. This may require early morning, evening and weekend hours.

·         Answer multi-line phones and perform Receptionist functions on a daily basis (approximately 2 hours per day), and when needed to cover vacations; screen and route calls, relay messages, greet visitors, and ensure that all visitation documents have been signed.

·         Conduct office supply inventory counts and submit to Receptionist for stock replenishment.

·         Picking up mail at USPS and company errands as needed (hospitality meals and supplies)

Minimum Qualifications

·         High School diploma or GED

·         Strong organizational and time management skills.

·         Ability to communicate orally and through written correspondence with customers and employees.

·         Basic mathematical skills (addition, subtraction, multiplication, division), required.

·         Valid driver’s license.

·         2 years of administrative/office experience

·         Experience with Microsoft Office, including Outlook, Excel, Word, Teams, and Power Point.

·         Ability to comprehend and communicate in English

·         Satisfactory results from a pre-employment drug screen.

·         Satisfactory results from a pre-employment background check.

 

Preferred Qualifications

·         Customer service experience.

·         Ability to maintain regular, reliable, and predictable attendance at scheduled work shifts.

·         Represent company with the highest standard of professional conduct when interacting with coworkers, customers and/or vendors.
