POSITION OVERVIEW:
The Bookkeeper and Administrative Assistant play a dual role in ensuring the smooth financial and operational functioning of the HOA management company. This position combines bookkeeping responsibilities with administrative support to provide comprehensive service to homeowners, board members, and internal staff.
KEY RESPONSIBILITIES:
BOOKKEEPING:
Accounts Payable and Receivable:
Process invoices, checks, and receipts accurately and promptly.
Manage billing processes, including homeowner assessments, late fees, and other charges.
Reconciliation:
Reconcile bank statements, credit card statements, and vendor accounts monthly.
Maintain accurate and up-to-date financial records.
Financial Reporting:
Prepare monthly financial reports for HOAs, including balance sheets, income statements, and cash flow reports
Assist in budget preparation and tracking for individual associations.
Audits and Tax Filings:
Support external audits and tax preparation by providing necessary documentation.
Ensure compliance with relevant financial and regulatory requirements.
ADMINISTRATIVE SUPPORT:
Communication:
Respond to homeowner inquiries via phone, email, or in person professionally and promptly.
Draft and distribute correspondence, notices, and newsletters as directed.
Meeting Coordination:
Assist in scheduling and preparing for HOA board meetings, including preparing agendas and meeting packets.
Take and distribute meeting minutes as needed.
Document Management:
Maintain and organize HOA records, contracts, and legal documents.
Process architectural review requests and other homeowner submissions.
Operational Support:
Assist in the management of vendor contracts and service agreements.
Support property managers in tracking maintenance requests and project timelines.
QUALIFICATIONS:
Education and Experience:
Associate's degree in accounting, business administration, or a related field (or equivalent experience).
Minimum of 2 years of experience in bookkeeping or accounting.
Prior experience in HOA management or property management is a plus.
Skills:
Proficient in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Word, Excel).
Strong organizational and time-management skills with the ability to multitask.
Excellent written and verbal communication skills.
High level of accuracy and attention to detail.

Work Environment:
Primarily office-based with occasional visits to HOA sites for meetings or inspections.

Competitive salary based on experience. $48,000 to $57,000 annually
