Clerical Specialist
Overview
We are seeking a detail-oriented and tech-savvy Clerical Specialist to support a project focused on transitioning from paper-based records to a fully digital filing system. This role involves handling confidential information, scanning and organizing 300+ physical files, and ensuring accurate digital data entry into our systems. The ideal candidate is highly organized, able to work independently, and comfortable working with HRIS platforms—experience with Paylocity is a plus.
Key Responsibilities
• Perform high-volume scanning of physical documents and convert them into organized digital files
• Maintain strict confidentiality and follow all data-handling protocols
• Accurately enter, update, and verify data within digital systems and HRIS platforms
• Organize, label, and store digital files for easy retrieval and long-term use
• Review scanned documents for clarity, completeness, and accuracy
• Track project progress and ensure timely completion of all assigned files
• Identify and resolve discrepancies or missing information
• Collaborate with team members as needed while maintaining the ability to work independently
Qualifications
• Proven experience with filing, scanning, and data entry
• Strong attention to detail and commitment to accuracy
• Ability to manage confidential information with discretion
• Tech-savvy, with comfort using scanners, digital filing systems, and cloud-based tools
• Experience with HRIS platforms; Paylocity experience preferred
• Ability to work independently and manage time effectively in a project-based environment
• Strong organizational and problem-solving skills
