Job Summary
The Customer Care Representative (CCR) supports daily operational functions and serves as the primary point of contact for customers. This role involves answering incoming calls, gathering customer information, booking appointments, and addressing concerns with professionalism and care. When issues arise, the CCR works diligently to resolve them to the customer’s satisfaction. Additional responsibilities include generating reports and coordinating with field personnel to ensure efficient scheduling. Success in this role requires strong teamwork, creative problem-solving, and critical thinking skills.

 

Essential Duties and Responsibilities
• Handle all incoming customer calls, recognizing that this interaction forms the customer’s first impression of the organization. Maintain excellent communication and ensure customer care is the top priority.
• Maintain a courteous, positive, and professional demeanor at all times, understanding that attitude influences team morale.
• Answer all calls before the third ring and use the approved greeting consistently.
• Notify customers proactively if a technician will not arrive within the scheduled time window and reschedule appointments as needed.
• Maintain regular communication with membership program customers and schedule additional service appointments when necessary to meet daily service and repair goals.
• Assist with dispatching service and maintenance calls to maximize scheduling efficiency while upholding customer satisfaction.
• Debrief technicians after each service call and confirm that payment has been collected.
• Adhere to the organization’s Code of Ethics and team guidelines.

 

Qualifications
• High school diploma or GED required
• Associate degree preferred
• Reliable, self-motivated, and flexible with work hours
• Strong customer service skills
• Professional written and verbal communication abilities
• Excellent interpersonal skills, both technical and non-technical
• Ability to work independently and collaboratively
• Proficiency in Microsoft Excel, Word, and PowerPoint
• Strong critical thinking and English composition skills
• Knowledge of telephone etiquette and email systems
• Ability to develop tools or processes that improve departmental efficiency
• Bilingual skills are a plus but not required

• Construction industry experience is a plus
