DME Order Processing Representative (Remote, Part-Time)

Location: Remote (Candidates within a 40-mile radius of Bend, OR preferred)
Pay: $22.00 per hour
Schedule: Part-Time, approximately 20 hours per week (4 hours per day, Monday through Friday during standard business hours)
Benefits: Pro-rated vacation and sick pay

Position Summary

We are seeking a detail-oriented and customer-focused DME Order Processing Representative to support the intake, verification, and processing of Durable Medical Equipment (DME) orders. This remote position plays a critical role in ensuring patients receive timely and accurate service while maintaining compliance with insurance, billing, and healthcare regulations.

The ideal candidate will have strong administrative and customer service skills, experience working with healthcare documentation, and the ability to communicate effectively with patients, providers, and insurance companies.

Key Responsibilities

  • Review and process patient orders, prescriptions, medical records, and insurance information.
  • Verify patient eligibility, insurance coverage, deductibles, co-insurance, and authorization requirements.
  • Enter accurate DME orders into company systems and maintain complete patient documentation.
  • Process customer co-payments and communicate with patients regarding payment collection when necessary.
  • Contact patients within 24 hours of receiving new orders to provide introductions and explain the process.
  • Coordinate with physicians, healthcare facilities, insurance carriers, and patients to obtain required documentation and resolve issues.
  • Initiate, monitor, and complete prior authorization requests, communicating approvals or denials to all relevant parties.
  • Process and manage specialty medical equipment orders through designated platforms.
  • Maintain HIPAA compliance and protect patient confidentiality at all times.
  • Identify opportunities to improve workflow efficiency and support process improvement initiatives.
  • Participate in team meetings and collaborate with internal staff to ensure smooth order fulfillment and exceptional patient service.

Required Qualifications

  • High school diploma or GED required.
  • Minimum of six (6) months of experience in a medical office, healthcare administration, insurance verification, medical claims processing, or a related healthcare setting.
  • Minimum of six (6) months of customer service experience involving patient or customer interaction, including financial discussions.
  • Strong computer skills, including Microsoft Office and Google Workspace.
  • Excellent verbal and written communication skills.
  • High level of accuracy, attention to detail, and organizational skills.
  • Ability to work independently in a remote environment while maintaining productivity and accountability.
  • Strong problem-solving and conflict-resolution abilities.
  • Commitment to providing exceptional customer and patient service.

Preferred Experience

  • Experience with DME, medical billing, insurance verification, or prior authorizations.
  • Familiarity with EMR or healthcare management software.
  • Knowledge of Medicare, insurance regulations, and HIPAA compliance.
