Office & Account Services AdministratorPay: $20.00 - $30.00 per hour (Based on Experience)Schedule: Monday-Friday, 8:00 AM - 5:00 PM (Flexible Schedule Available)Employment Type: Full-TimeLocation: On-SitePosition OverviewWe are seeking a highly organized and detail-oriented Office & Account Services Administrator to support daily office operations, customer service, inventory management, shipping coordination, and administrative functions. This role is ideal for a proactive professional who thrives in a fast-paced environment, enjoys multitasking, and can operate independently while supporting multiple departments across the organization.The successful candidate will play a key role in maintaining accurate records, supporting customer and vendor communications, and ensuring the efficient flow of information throughout the business.Key ResponsibilitiesAdministrative & Office SupportCreate, maintain, and update purchase order, production job, and sales order files.Enter raw material receipts and inventory transactions into ERP software on a daily basis.Maintain accurate inventory records and assist with inventory control processes.Create, update, and assist with reports, procedures, documentation, and work instructions.Support various administrative and operational projects as assigned.Assist with employee onboarding paperwork and HR-related administrative tasks when needed.Customer Service & Order ProcessingProcess and enter sales orders accurately and efficiently.Ensure order confirmations are sent to customers within 48 hours.Respond professionally to customer inquiries via phone and email.Process and distribute Certificates of Analysis (COAs) as required.Verify and print customer invoices.Shipping & Logistics CoordinationPrepare shipping documentation and coordinate shipments with warehouse personnel.Schedule inbound and outbound freight with carriers and transportation providers.Communicate effectively with vendors, freight companies, and customers regarding shipment status and requirements.Operational SupportAssist with Sales, Marketing, Quality, and Operations-related projects.Help maintain smooth office operations and support cross-functional teams.Serve as a reliable facility resource during periods when leadership is not onsite.Adhere to all company policies, procedures, and workplace standards.Perform additional duties and special projects as assigned.QualificationsRequiredBachelor's degree or 2-5 years of relevant administrative, customer service, logistics, accounting, or office management experience.Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Ability to work independently with minimal supervision.Proficiency with Microsoft Office, especially Microsoft Excel.Strong problem-solving and critical-thinking skills.High attention to detail and accuracy.PreferredExperience with Sage MAS, Sage ERP, SAP, AS400, or similar ERP systems.Experience in a manufacturing, logistics, distribution, or production environment.Knowledge of inventory control, shipping documentation, and order processing.Physical RequirementsOccasionally lift and move up to 40 pounds.Ability to sit for extended periods while working on a computer.Ability to occasionally walk through warehouse and production areas.Visual ability to review documents, spreadsheets, and data accurately.Work EnvironmentThis position is primarily office-based with occasional interaction in warehouse and production areas.
