Office AdminSchedule: Monday–Friday, 8:00 AM – 5:00 PMEmployment Type: Full-Time$18-$25hr DOEPosition OverviewWe are seeking a highly organized, detail-oriented Office Administrator to support daily office operations and assist management in a fast-paced manufacturing environment. This role serves as a key point of contact for customers, vendors, and employees while providing administrative, scheduling, and operational support. The ideal candidate will be professional, dependable, customer-focused, and willing to learn a variety of responsibilities.Key ResponsibilitiesOperate a multi-line switchboard and manage incoming calls professionally.Greet visitors and provide front desk support.Enter and process customer purchase orders accurately.Perform contract reviews and prepare order acknowledgements.Schedule customer orders and coordinate shipments.Confirm shipments and communicate order status with customers.Create and maintain work orders for production employees.Enter daily production data and temporary employee hours accurately.Maintain customer communication through email and phone correspondence.Learn and utilize the IQMS software system for order and production management.Create, update, and maintain Excel spreadsheets and reports.Manage Outlook email communications and calendars as needed.Order production supplies and follow up to ensure timely delivery.Sort and distribute mail, file documents, and maintain organized records.Assist supervisory staff with administrative and operational tasks.Navigate customer web portals and websites for order management and communication.Follow company safety procedures and participate in required safety training.QualificationsRequired Skills & ExperienceStrong customer service and communication skills.Proficiency in Microsoft Office Suite, including:WordExcelOutlookExcellent organizational and time-management skills.High attention to detail and accuracy.Ability to manage multiple priorities in a fast-paced environment.Professional phone etiquette and front desk experience.Willingness to learn new software systems and job responsibilities.Ability to work independently and as part of a team.Preferred QualificationsExperience entering customer purchase orders and processing order acknowledgements.Experience scheduling orders, shipments, or production activities.Familiarity with ERP systems, preferably IQMS.Experience navigating customer websites and online portals.Previous office administration, manufacturing administration, or customer service experience.Knowledge of workplace safety procedures.
