Job Title: Inspection Scheduler

 

Position Summary

The Inspection Scheduler is responsible for coordinating and scheduling building, electrical, plumbing, and related inspections requested through the Building Permit Office. This role requires strong organizational skills, attention to detail, and the ability to manage a high volume of requests in a fast-paced environment. The Inspection Scheduler serves as a primary point of contact for contractors, homeowners, and inspectors, ensuring inspections are assigned promptly and accurately while maintaining excellent customer service.

Key Responsibilities

  • Receive and process inspection requests via phone, email, and online systems.
  • Coordinate daily and weekly inspection schedules for multiple inspectors across different disciplines.
  • Prioritize and assign inspection requests based on availability, workload, and geographic location.
  • Communicate with contractors, homeowners, and internal staff to confirm scheduling and resolve conflicts.
  • Maintain accurate records of scheduled, completed, and rescheduled inspections.
  • Input inspection data into the permit and inspection tracking system.
  • Provide information to customers regarding inspection procedures, timelines, and requirements.
  • Monitor inspector workload and adjust schedules as needed to ensure efficiency.
  • Assist inspectors with updates, route adjustments, and schedule changes throughout the day.
  • Generate reports and maintain documentation related to inspection activity.
  • Support front office operations and perform related administrative tasks as assigned.

Qualifications

  • High school diploma or equivalent required; some college coursework preferred.
  • Minimum of 1–2 years of clerical, scheduling, or customer service experience (construction, permitting, or municipal experience preferred).
  • Strong organizational and time management skills with the ability to work under pressure in a busy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn specialized scheduling/permit software.
  • Excellent communication skills with the ability to handle frequent phone and in-person inquiries.
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Ability to multi-task and adapt quickly to changing priorities.
  • Customer service-oriented with a professional, helpful demeanor.

Work Environment

  • Office-based role with frequent public and contractor interaction.
  • Fast-paced, high-volume workload requiring strong focus and efficiency.
  • May require extended periods of sitting, phone use, and computer work.

Schedule: 

Monday thru Friday, 8am- 5pm

 

Pay: 

$21.50- $24.00 per hour (based on experience)
