Job Full Description
We are seeking a detail-oriented, customer-focused Service/Warranty Administrator to join a growing service department.
Key Responsibilities
- Process warranty claims accurately and efficiently with manufacturers, ensuring proper documentation and timely submission
- Track, update, and maintain warranty statuses, billing, and follow-up actions
- Assist service managers and technicians with creating and closing work orders, service records, and job tickets
- Review technician notes for accuracy and completeness to support claim submission
- Serve as a point of contact for warranty-related questions from customers, vendors, and internal teams
- Maintain organized digital and physical records for service and warranty documentation
- Support scheduling, customer communication, and general service office operations as needed
- Ensure compliance with all company, manufacturer, and warranty policies
- Assist with parts returns and ensure they align with warranty or service claim requirements
- Provide exceptional customer service in person, by phone, and via email
Qualifications
- Previous experience in warranty administration, service coordination, or office administration preferred
- Familiarity with agricultural, heavy equipment, automotive, or mechanical service environments is a plus
- Strong computer skills, including ability to learn internal systems and manufacturer portals
- Excellent attention to detail and organizational abilities
- Strong written and verbal communication skills
- Ability to work collaboratively in a fast-paced service environment
- Reliable, self-motivated, and customer-focused
