POSITION PURPOSE:
The Accounting Assistant position performs skilled bookkeeping and accounting support work for more than 93 departments. The position provides advanced support services.
NATURE AND SCOPE:
The Accounting Assistant may work with other employees, the public, or supervisors in other sections of the office, and other departments. The person may specialize in one area but is expected to develop advanced competencies and provide service in several areas. Day-to-day work may include time spent in any of the work areas.
MAJOR FUNCTIONS OF THE POSITION:
Person holding this position will be responsible for performing some or all the following duties:
- Receives vouchers with supporting documentation from county departments and junior taxing districts for processing. You must pay attention to detail in auditing the vouchers for correct vendor information, expenditure coding, authorized signatures, and supporting documentation.
- Ensure there is sufficient cash and budget for payment of vouchers.
- Prepares and submits a report on all requested warrants for accounts payable to the Board of County Commissioners for final approval.
- Prepares and distributes all accounts payable warrants for county and junior taxing districts.
- Voids, cancels and reissues warrants.
- Research vendor payments for county offices, junior taxing districts and vendors.
- Input adjustments and corrections as needed to expenditure file.
- Monthly reconciling and balancing expenditures and transfers of financial items pertaining to the operation of the county.
- Assisting in the preparation of financial reports and budget documents.
- Custodian of advance travel fund. Includes issuance of advanced travel funds and the return of those funds within a fixed period.
- Auditing travel expenses and monthly reconciliation of the account.
- Monitors the use of county Visa cards according to policies.
- Reconcile Visa bill, issue voucher for payment, and prepare warrant for payment.
- Assist departments with establishing vendor numbers and maintaining vendor file.
- Monthly use tax reporting. Gather documents pertaining to use tax reportable to DOR, compile report, and file monthly use tax report.
SUPPORT FUNCTIONS:
- Enrollment of employees for health benefits.
- Maintain changes to employee health benefit accounts.
- Reconcile monthly health insurance invoices to payroll deductions.
- Open and closing of licensing department.
- Balance daily transactions with cash and checks, make appropriate deposits.
- Issue tab renewals
- Transfer vehicle and mobile home titles.
- Maintain inventory of tabs, license plates and other tracked inventory.
- Process both trip permits and disability permits
- Reconcile monthly bank statements.
- Other miscellaneous function of licensing as required.
- Maintain licensing credentials for employment in Department of Licensing.
- Index recorded documents.
- Verification of indexed information.
- Retrieve indexed data as needed.
- Assist public with registering to vote.
- Ability to communicate well on the phone and over the counter regarding all departments.
- Issue checks for Veterans Relief fund.
