Collections Administrative Assistant – Law Firm
Location: Downtown Milwaukee, WI
Pay: $20.00/hour
Schedule: Monday–Thursday, 8:30 AM–5:30 PM; Friday, 8:30 AM–3:00 PM
Employment Type: Contract-to-Hire
Position Summary
A downtown Milwaukee law firm is seeking a professional, organized, and detail-oriented Collections Administrative Assistant to support the firm's collections activities and day-to-day administrative needs.
This position is primarily office-based and involves communicating with clients regarding outstanding balances, maintaining accurate records, preparing correspondence, and assisting with collection-related administrative tasks. The ideal candidate is comfortable speaking with people about payments, has strong computer skills, and can handle sensitive information professionally and confidentially.
Responsibilities
  • Assist with day-to-day collections and accounts receivable activities
  • Contact clients regarding outstanding balances and payment arrangements
  • Make professional and courteous collection phone calls
  • Prepare and send collection correspondence, emails, and notices
  • Maintain accurate records of client accounts, payments, and communications
  • Enter and update account information in computer systems
  • Follow up on outstanding balances and document collection efforts
  • Process and record payments as directed
  • Research account information and resolve discrepancies when needed
  • Prepare, scan, fax, copy, and organize documents
  • Maintain organized electronic and paper files
  • Assist with general administrative and clerical duties
  • Communicate professionally with clients, attorneys, and office staff
  • Maintain confidentiality when handling client and financial information
  • Support the team with additional administrative tasks as needed
Qualifications
  • Previous administrative, collections, accounts receivable, customer service, or office experience preferred
  • Strong computer skills and ability to learn new software
  • Excellent verbal and written communication skills
  • Comfortable making professional phone calls regarding outstanding balances
  • Strong attention to detail and accuracy
  • Good typing and data-entry skills
  • Ability to handle confidential and sensitive information professionally
  • Strong organizational and time-management skills
  • Ability to multitask and prioritize daily responsibilities
  • Professional demeanor and positive attitude
  • Previous law office experience is a plus, but not required

The ideal candidate is professional, confident, organized, and comfortable having payment-related conversations with clients. This person should be able to remain courteous and professional while following up on past-due accounts and documenting all collection activity accurately.
