Position: Administrative Assistant
Location: Atlanta, TX
Hours: M-F, 8a-5p
Pay: $15-17/hour, DOE
The General Administrative Assistant will provide administrative and customer service support. This position will serve as a point of contact for tenants, assist with maintaining accurate property and tenant records, and provide day-to-day administrative support to the property management team. The ideal candidate will be organized, professional, dependable, and comfortable communicating with tenants, vendors, and team members.
Essential Duties and Responsibilities
- Answer and direct incoming phone calls, emails, and tenant inquiries in a professional and timely manner.
- Serve as a point of contact for tenants regarding general questions, maintenance requests, payments, lease information, and other property-related concerns.
- Document tenant communications, requests, and follow-up activities accurately.
- Maintain organized and up-to-date tenant, property, lease, and maintenance files.
- Assist with preparing, filing, scanning, copying, and organizing leases, notices, applications, correspondence, and other property management documents.
- Assist with processing rental applications and maintaining applicant records.
- Enter and update tenant and property information in property management software and other company databases.
- Coordinate and communicate maintenance requests with tenants, property managers, and vendors as needed.
- Assist with scheduling inspections, appointments, property showings, and other property-related activities.
- Prepare correspondence, notices, reports, spreadsheets, and other administrative documents.
- Assist the property management team with accounts receivable, rent records, invoices, or other basic administrative financial tasks as needed.
- Maintain confidentiality of tenant and company information.
- Assist with general office organization and daily administrative functions.
- Provide backup support to other members of the property management team as needed.
- Perform other duties and special projects as assigned.
Qualifications
- Previous administrative, office, customer service, property management, or related experience preferred.
- Strong verbal and written communication skills.
- Professional and courteous phone and customer service skills.
- Excellent organization and attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Proficiency with Microsoft Office, including Word and Excel.
- Ability to learn property management software and other office systems.
- Ability to handle sensitive and confidential information appropriately.
- Strong problem-solving skills and a professional, dependable attitude.
Work Environment
This position is primarily office-based and involves frequent interaction with tenants, property owners, vendors, and other members of the property management team. The position requires the ability to manage multiple priorities while maintaining a professional and customer-focused approach.
