Job Title: Schedule Coordinator 
 
Position Summary
We are seeking a highly organized and customer-focused Schedule Coordinator / Administrative Coordinator to support daily operations within a growing company serving residential and commercial clients. This role is responsible for coordinating appointments, installations, deliveries, and service requests while providing exceptional customer service and administrative support.
 
Essential Responsibilities:
 
Scheduling & Coordination
  • Schedule and coordinate customer appointments, consultations, site visits, deliveries, installations, and service calls.
  • Manage and maintain calendars for field technicians, installers, and project personnel.
  • Confirm appointments and provide customers with timely updates regarding schedules and project timelines.
  • Coordinate with internal departments to ensure materials, personnel, and resources are available for scheduled work.
  • Resolve scheduling conflicts and adjust timelines as needed.
  • Monitor job progress and communicate status updates to customers and team members.
 
Administrative Support
  • Answer incoming phone calls, emails, and customer inquiries in a professional and courteous manner.
  • Create, maintain, and update customer records, work orders, and project documentation.
  • Enter and manage data within company databases and software systems.
  • Prepare reports, spreadsheets, correspondence, and other administrative documents.
  • Maintain organized electronic and physical filing systems.
  • Assist management with various administrative and operational projects.
 
Customer Service
  • Serve as a primary point of contact for customers throughout the lifecycle of their project.
  • Provide updates regarding orders, deliveries, installations, and service requests.
  • Address customer concerns professionally and escalate issues when appropriate.
  • Ensure a positive customer experience through clear communication, responsiveness, and follow-through.
 
Operations Support
  • Coordinate with warehouse, purchasing, and field teams to ensure project readiness.
  • Track project milestones and maintain accurate scheduling records.
  • Support workflow efficiency by monitoring pending jobs, completed projects, and upcoming appointments.
  • Assist with special projects and process improvement initiatives as assigned.
 
 
 
 
 
 
Qualifications:
 
Required
  • High school diploma or equivalent.
  • Minimum of 2 years of experience in scheduling, administration, customer service, project coordination, or office support.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to prioritize competing demands in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
 
Preferred
  • Experience in construction, home improvement, manufacturing, distribution, logistics, or related industries.
  • Experience using scheduling, CRM, ERP, or project management software.
  • Bilingual in English and Spanish.

Physical Requirements

Compensation & Benefits
Pay Range: $20.00 - $23.00 per hour, depending on experience.
