Staffing Coordinator
Full-Time

Job Summary:
The Staffing Coordinator is responsible for scheduling caregivers, coordinating staffing logistics, and matching qualified caregivers with client needs. This role requires excellent organizational skills, strong attention to detail, effective time management, and the ability to manage multiple priorities simultaneously. The Staffing Coordinator also plays an active role in problem-solving while providing exceptional customer service to clients, families, and caregivers.
Essential Duties & Responsibilities:
· Review and document daily reports in the scheduling system.
· Monitor employee time clocks to ensure accurate timekeeping.
· Coordinate caregiver schedules based on client needs while ensuring appropriate staffing coverage.
· Prepare and distribute company communications and memos.
· Provide exceptional customer service and timely follow-up with clients, families, and caregivers.
· Process time-off requests, maintain employee availability, and update scheduling records.
· Coordinate introductions and onboarding for new caregivers.
· Maintain knowledge of company policies, procedures, and operational practices.
· Handle confidential client and employee information with professionalism and discretion.
· Communicate schedule changes and updates with clients, families, and caregivers.
· Build and maintain positive relationships with clients, families, and staff.
· Maintain accurate documentation of calls, scheduling updates, incidents, injuries, hospital admissions, and other client-related communications.
· Assist with administrative documentation and reporting as needed.
· Help manage scheduling to maximize coverage while minimizing overtime costs.
· Respond to prospective client inquiries.
· Collaborate with recruiters regarding staffing needs, training requirements, and employee relations matters.
· Assist with interviews and hiring activities as needed.
· Exercise sound judgment when resolving scheduling and staffing challenges.
Qualifications:
Education & Experience
· High school diploma or equivalent required.
· Four or more years of caregiver experience preferred.
· CNA or HHA certification preferred.
Knowledge, Skills & Abilities:
· Strong customer service and interpersonal skills.
· Ability to communicate effectively with individuals from diverse backgrounds.
· Excellent verbal and written communication skills.
· Strong organizational and time management abilities.
· Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
· Ability to learn new software and scheduling systems quickly.
· Knowledge of HIPAA regulations and confidentiality requirements.
· Self-motivated with the ability to work independently and collaboratively.
· Strong problem-solving and decision-making skills.
· Ability to prioritize multiple tasks in a fast-paced environment.
