Billing Coordinator – New Home Builder

Summary

The Billing Coordinator supports the financial operations of a growing homebuilding related company by managing invoicing, payment processing, vendor billing, job cost tracking, and documentation. This role ensures accuracy, timeliness, and compliance across all billing activities while working closely with construction, purchasing, sales, and accounting teams. As a key part of a new builder’s operations, the Billing Coordinator helps establish efficient processes and contributes to a smooth workflow from project start to close of escrow.

 

Key Responsibilities

  • Prepare and issue customer invoices, progress billings, and draw requests for construction projects.

  • Review vendor and subcontractor invoices for accuracy, proper coding, and contract compliance.

  • Track job costs, budgets, and change orders; flag discrepancies or overruns.

  • Maintain organized billing records, lien releases, W-9s, insurance certificates, and contract documents.

  • Coordinate with project managers and superintendents to verify completed work before billing.

  • Process payments, monitor accounts receivable, and follow up on outstanding balances.

Qualifications

  • Experience in construction billing, accounts payable/receivable, or homebuilding administration preferred.

  • Strong understanding of job costing, progress billing, and construction documentation.

  • Excellent attention to detail and ability to manage multiple deadlines.

  • Strong communication and problem-solving skills.

  • Ability to work independently in a fast-paced, growing environment.

 

Preferred Skills

  • Familiarity with purchase orders, subcontract agreements, and change order processes.

  • Comfort helping build new processes and systems from the ground up.
