Administrative Assistant – Payroll & Financial Services
On -Site, Full Time- Mon- Fri, 8:30am-5pm; Compensation: $45,000 - $50,000/annual
Are you a detail-oriented, tech-savvy professional with a background in payroll and finance? We're looking for a confident, capable Administrative Assistant to support the owners of a growing payroll services company — someone who is ready to play a key role in daily operations, client support, and financial reporting.
Responsibilities:
- Working directly with ownership to assist with internal operations, financial processes, and client communications.
- Assist with payroll processing support and financial administration
- Prepare and submit bank reconciliations, 401(k) paperwork, and financial reports
- Draft professional letters and emails on behalf of the ownership team
- Respond to client inquiries via phone and email with professionalism and accuracy
- Run Excel-based reports and compile data as needed
- Maintain and organize digital files, documents, and client records
- Support scheduling, meeting preparation, and follow-up tasks for the owners
- Handle special projects related to business operations and client onboarding
Qualifications/Experience:
- Experience in payroll services, bookkeeping, or financial administration
- Proficiency in Microsoft 365, especially Outlook, Word, and Excel (formulas, reports, pivot tables a plus)
- Comfortable with technology and digital tools — quick learner with new systems
- Excellent written and verbal communication skills
- Strong attention to detail and ability to manage multiple priorities
- Professional, reliable, and capable of working both independently and with leadership
- Previous experience in a client-facing or support role is a plus
