Job Full Description
We are seeking a highly detail-oriented and dependable Payroll & Finance Support Coordinator to work closely with ownership on daily internal operations, financial processes, and client communications.
Responsibilities
- Collaborate directly with ownership to support internal operations and client financial processes
- Assist with payroll processing
- Prepare and complete bank reconciliations, daily deposit submissions, and other financial reports
- Manage 1099 processing and assist with quarterly and annual tax payments
- Review and interpret IRS notices, state tax correspondence, and communicate necessary follow-ups
- Support clients with 401(k) loan paperwork, including document preparation and submission
- Draft professional communications, including letters and emails, on behalf of ownership
- Respond promptly to client inquiries via phone and email with professionalism and accuracy
- Download/upload documents across secure portals and maintain well-organized digital records
- Handle special projects related to client onboarding, financial compliance, and business support
Skills/Experience
- Proven experience in payroll services and financial administration
- Proficient in Microsoft 365, including Excel
- Ability to understand and process IRS/state tax notices and support compliance tasks
- Familiar with 401(k) plan administration, especially loan processing and contribution tracking
- Strong communication skills, both written and verbal
- High level of accuracy and attention to detail
- Ability to manage multiple priorities and maintain confidentiality
- Comfortable with digital tools and quick to learn new systems
- Prior experience in a client-facing or administrative support role preferred
