Administrative Assistant 
Fulltime : Mon-Fri 8am-5pm 

Location: Fort Pierce, FL 

ESSENTIAL JOB FUNCTIONS:

  1. Performs duties of a staff assistant nature and manage the workflow of the Code Enforcement office, including handling incoming calls, emails, and correspondence.
  2. Functions as office receptionist with duties including answering telephone calls, forwarding calls or taking complaints as appropriate, assigning complaints to officers, processing all incoming mail, assisting visitors at the front counter and making referrals to appropriate resources as necessary.
  3. Type, enter data and conduct queries using software programs.
  4. Conducts general internet research, downloads documents and records for use in official Code Enforcement procedures.
  5. Create, process, and file code enforcement documentation in accordance with departmental procedures.
  6. Perform general clerical duties such as copying, scanning, and mailing.
  7. Provide administrative support and serve as a back-up for the Department’s administrative staff.
  8. Provide administrative support for the Department’s Executive Assistant. Responsibilities may include, but are not limited to, processing lien searches, mailing notices of hearing and affidavits, and updating case files.
  9. Issue invoices and obtain payments from citizens.
  10. Must be proficient with Microsoft programs with a focus on Outlook, Word and Excel.

MINIMUM QUALIFICATIONS:

 

  • A calm and even temperament with the ability to deal courteously with the public as well as managing persons that are upset and/or angry with tact and professionalism.
  • Knowledge of the English language including proper grammar, spelling and punctuation for document preparation and composing emails.
  • Familiarization with, or the ability to learn, the Code of Ordinances and general policies.
  • Ability to effectively communicate both verbally and in writing.
  • Ability to operate a multi-line telephone, scanner, copier, PC, keyboard, mouse and printer.

EDUCATION AND EXPERIENCE:

 High school graduation or possession of an acceptable equivalency diploma.

  • Two (2) years’ work experience involving secretarial / clerical duties including the operation of a personal computer, keyboard or similar data entry equipment.
  • A comparable amount of training, education or experience can be substituted for the minimum qualifications.

LICENSES, CERTIFICATION OR REGISTRATIONS:

A Florida Notary Public certification is preferred.

ESSENTIAL PHYSICAL SKILLS:

  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without hearing air)
  • Ability to communicate both orally and in writing
  • Ability to enter data at a prescribed rate of speed
  • Types at 50 words per minute
  • Ability to access file cabinets for filing and retrieval of data
  • Ability to sit at a desk and view a computer monitor for extended periods of time
