Position: Administrative Assistant
Schedule: Monday - Friday, 8:00 am – 4:00 pm
Competitive Salary ($45,000 - $48,000/year) + Overtime

As an Administrative Assistant, you’ll play a key role in coordinating administrative, purchasing, and DOT activities for the Vale Mine, Mine Maintenance, and Load & Haul teams. Key Responsibilities:
General Administrative Duties:
- Maintain a professional, welcoming front desk and reception area.
- Greet employees, vendors, and visitors with exceptional customer service.
- Handle clerical tasks like filing, scanning, faxing, and emailing.
- Keep accurate records and enter data daily to meet DOT and MSHA
- Ensure monthly fuel usage and other important reports are reconciled and submitted on time.
Mine & Load & Haul Equipment Management:
- Oversee the fuel levels for all mine and L&H equipment, ordering as needed.
- Maintain driver qualification files and ensure compliance with DOT and company standards.
- Assist with truck scale operations and schedule maintenance as necessary.
- Communicate DOT updates and regulations to the supervisory teams.
Purchasing & Vendor Management:
- Assist with purchasing materials and supplies for the mine operations.
- Issue purchase orders and monitor vendor invoices for timely payments.
- Obtain competitive quotes to ensure cost-effective purchasing.
What You’ll Bring to the Role:
- 1-3 years of office experience (mining or manufacturing experience is a plus!).
- Familiarity with DOT regulations and experience with ERP systems preferred.
- Strong skills in Microsoft Word, Excel, and PowerPoint.
- A proactive attitude, exceptional attention to detail, and excellent time management skills.
- A sense of urgency and the ability to work independently.
- Ability to multitask and thrive in a fast-paced environment.
Bonus Points If:
- You have experience working with DOT regulations or have a background in manufacturing.
- You’re willing to work occasional overtime or weekends (if required).
