Office Administrator

About the Role
We are seeking a reliable and detail-oriented Office Administrator to support daily office operations and financial processes. This role is ideal for someone who enjoys working in a structured environment, managing multiple tasks, and keeping operations running smoothly.
Key Responsibilities
Daily Tasks
- Answer phones and greet visitors
- Enter daily timecards into QuickBooks
- Open and sort incoming mail
- Enter invoices and process payments in QuickBooks
- Prepare and complete bank deposits
Weekly Tasks
- Process payroll using QuickBooks
- Manage payroll liabilities electronically
- Coordinate ADP and 401(k) administration
- Pay invoices
Monthly Tasks
- Assist with state and county tax reporting
- Generate customer invoices and track past due accounts
- Prepare bank statements and reports for accounting
Additional Responsibilities
- Maintain customer and job files
- Manage insurance documents, W9s, and company records
- Organize personnel files
- Order office supplies
Qualifications
- Experience with QuickBooks preferred
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong communication and customer service skills
- Previous administrative or office experience preferred
