Operations Manager Job Summary
A growing financial planning firm in West Michigan is seeking a professional and detail-oriented Operations Manager to lead the day-to-day operations of the office and provide exceptional client service. The Operations Manager will play a vital role in ensuring our office runs efficiently, client experiences are meaningful, and the team is empowered to achieve our shared goals.
This role is ideal for someone with impeccable communication skills, strong critical thinking ability, and a warm, professional presence. The Operations Manager will be responsible for running the office, managing client service operations, planning memorable events, and supporting the firm’s growth strategy. This leader will bring energy, and a genuine belief in what we do — serving as the “face of the office” and creating an inviting environment for clients and team members. Operations Manager Responsibilities:
Client Service & Office Management
- Serve as the primary point of contact for clients and guests, ensuring a warm, professional, and welcoming experience.
- Maintain the annual client review calendar and schedule reviews three months in advance, keeping the forward quarter fully booked.
- Process client requests (ACH deposits/withdrawals, RMDs, QCDs, account updates, transfers).
- Manage notifications and household groups in CRM, ensuring accuracy and timely follow-up.
- Support the financial advisor by prioritizing and managing emails, calls, and scheduling needs.
- Empower the team by creating systems that streamline daily operations and ensure nothing falls through the cracks.
Marketing & Event Coordination
- Plan, schedule, and coordinate client events, ensuring each event aligns with the firm’s values and presents the right image.
- Partner with the advisor to design unique, memorable client experiences that foster strong relationships and encourage referrals.
- Coordinate the distribution of monthly newsletters, update the website and social media as needed, and maintain the firm calendar.
Operational Efficiency & Strategy
- Implement and maintain standard operating procedures to ensure operational excellence.
- Regularly review, document, and improve administrative processes in the SOP manual.
- Communicate proactively with team members through weekly check-ins and as needed to keep everyone aligned.
- Support growth by anticipating needs, staying organized, and maintaining a strategic, big-picture mindset.
- Uphold industry compliance standards and ensure proper handling and scanning of financial documents.
Schedule & Pay:
- Full-time, in-office role (Monday–Friday) with flexibility as needed for events and to ensure work is completed.
- Pay: $65,000-70,000/YR., based on experience + quarterly bonus potential.
Operations Manager Qualifications:
- Bachelor’s degree in Communications, Business Administration, or related field required.
- 3–5 years of experience in operations, office management, or client service, ideally in a professional services, legal, or financial planning environment.
- Impeccable written and verbal communication skills with a warm, engaging presence.
- Highly detail-oriented and organized; able to juggle multiple priorities while maintaining accuracy.
- Strong critical thinking skills with a strategic mindset and ability to anticipate needs.
- Professional and responsible with a track record of exercising good judgment.
- Customer-facing experience with a natural ability to build social connections and foster client trust.
- Event planning experience with the creativity to make client gatherings meaningful and memorable.

- Tech-savvy and proficient with Microsoft Office and CRM platforms.
