Office Coordinator Job Summary:
A large West Michigan property management company is looking for a detail-oriented and organized Office Coordinator to support day-to-day operations at a local apartment community. This position functions as an Assistant Property Manager, working closely with the Property Manager and leasing staff to ensure smooth office operations, excellent resident service, and timely completion of administrative tasks. The ideal candidate has strong communication and multitasking skills, enjoys helping others, and thrives in a fast-paced, team-oriented environment.
Office Coordinator Responsibilities:
- Management of daily office coordination including phone handling, email correspondence, and scheduling of contractor and vendor work
- Tracking of rent payments, delinquencies, and entry of payment data into spreadsheets for accounts receivable
- Coordination of unit inspections and apartment walks to document damages or needed repairs
- Oversight of lease renewals, lease modifications, and renters insurance compliance
- Support of residents through processing rental adjustments with housing authorities and maintaining accurate records
- Communication with residents, vendors, and housing agencies to ensure smooth operations and follow-up
- Assistance in training new leasing agents and serving as a point of contact for leasing questions
- Coordination of pest control and utility updates (Consumers, DTE, etc.)
- Coverage for the Property Manager when needed, including handling escalated resident concerns
- Maintenance of organized filing systems and support of the overall leasing and management team
Schedule & Pay:
- Monday – Friday 9am–5pm
- $20/HR
Office Coordinator Qualifications:
- Previous property management or leasing experience required
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with Yardi a plus
- Strong organizational and time management skills
- Ability to multitask and manage competing priorities effectively
- Excellent written and verbal communication skills
- Comfort working both independently and as part of a team
- Experience coordinating contractors, vendors, or inspections preferred
- Knowledge of Fair Housing and basic property management practices
