This position serves as the operational backbone of a wealth management practice. Their primary goal is to manage administrative and client-service tasks, allowing the Lead Advisor to focus on high-level financial planning and business development.
Key Responsibilities:
- Acts as the first point of contact for clients; schedules appointments, confirms meetings, and responds to routine inquiries via phone and email
- Processes new account paperwork, facilitates asset transfers, and maintains accurate digital and physical client records
- Meeting Preparation: Gathers financial data, creates reports, and prepares presentation materials (e.g., portfolio reviews or financial plan drafts) for advisor-led meetings.
- Ensures all documentation meets strict industry regulations
- Coordinates office functions, handles marketing logistics (such as seminar planning), and monitors daily account activities for potential issues.
Required Skills & Qualifications:
- Mastery of Microsoft Office Suite (especially Excel) and financial software such as CRM systems (Salesforce, Redtail) and planning tools (eMoney, MoneyGuidePro).
- Licensure (Optional but Preferred): Many roles require or prefer FINRA Series 7 and Series 63/66 licenses, which allow the assistant to process trades and provide limited investment information.
- Attention to Detail
- Exceptional interpersonal skills for building rapport with high-net-worth clients and coordinating with external professionals like CPAs or attorneys.
- A high school diploma is a minimum but prefer Bachelors Degree in related field
