Position Summary:

The Accounts Payable Specialist is responsible for maintaining the A/P system and processing vendor payments. This role ensures invoices are coded accurately, assigned to the proper cost centers, and paid on time. The specialist will communicate with vendors, reconcile monthly statements, and manage cash journals.

Key Responsibilities:

• Match vendor invoices to purchase orders and resolve discrepancies

• Code and enter expense invoices

• Reconcile vendor statements and process check payments

• Maintain A/P files and set up new vendors in the ERP system

• Monitor A/P aging reports and ensure timely payments

• Process employee expense reimbursements and credit card reports

• Serve as the primary contact for all A/P activities

• Assist billing with customer invoicing

• Backup receptionist duties when needed

• Perform other tasks as assigned

Required Qualifications:

• Education:

  • Bachelor's in Accounting, Finance, or Business (preferred)

  • High school diploma or equivalent (required)

• Experience:

  • Minimum 3 years of relevant A/P experience

  • Proficient with accounting software and MS Office (Word, Excel, Outlook)

  • Strong attention to detail, ability to meet deadlines

  • Excellent communication and interpersonal skills
