Job Full Description
As a Customer Service Representative, including taking calls, creating quotes, maintaining records, and assisting with customer inquiries. In the Receptionist / Office Assistant role, covering customer interactions, phone/email management, job intake, and office support.
Duties include:
· Customer Interaction: Greet customers, visitors, and delivery personnel professionally.
· Communication: Answer incoming calls and emails promptly, route appropriately, and take clear messages.
· Record Keeping: Maintain organized records of customer jobs, quotes, and invoices.
· Administrative Support: Actively support Owner, GM, Office Manager and Customer Service with general office and clerical tasks.
· Operations Coordination: Support communication between customers, sales, and the shop floor.
· Answer customer calls and emails professionally and courteously.
· Collect accurate information for estimates, quotes, and work orders.
· Maintain and update the Customer Relationship Management (CRM) system.
· Return calls and emails promptly.
· Handle in-depth inquiries regarding customer needs or special requirements.
· Ensure order accuracy from intake to production.
· Communicate effectively with customers, sales, and production teams.

· Powder color code charts
· SOP manuals and reference guides
Customer Interaction
· Answer calls promptly
· Maintain friendly and professional demeanor at all times.
· Listen carefully and ask clarifying questions to understand customer needs.
· Collect essential information:
o Customer name, address, phone, and primary contact
o Project description, number of pieces, type of material
o Color(s) – separate by powder color code
o Masking, plugging, or special requirements
o Previously coated parts?
o End use/environment considerations
o Primer or finishing requirements
o Due date and scheduling needs
o REFER TO DETAILED INTAKE SHEET CHECKLIST
· Record all details in the CRM system and intake forms.
Estimates and Quotes
· Gather necessary measurements, project details, and material specifications.
· Submit job information to Estimating Department
· Provide accurate estimates using approved pricing and material tables.
· Return estimates to customers promptly via email or phone.
· Document all communications in CRM.
