Position Summary:

The Medical Office Manager is responsible for overseeing daily administrative operations, ensuring the efficient and compassionate delivery of patient care. This role requires a detail-oriented professional with strong leadership and organizational skills, capable of managing staff, coordinating scheduling, maintaining compliance, and supporting both medical and administrative teams.


Key Responsibilities:

Administrative Management:

  • Supervise front office staff including receptionists, billing personnel, and medical records clerks.

  • Coordinate patient scheduling, registration, and check-in/out processes.

  • Maintain electronic medical records (EMR) and ensure data accuracy and confidentiality.

  • Oversee inventory and ordering of office and medical supplies.

  • Ensure HIPAA compliance and clinic policy adherence.

Financial and Billing Oversight:

  • Monitor billing processes and assist in resolving insurance claim issues.

  • Work with the billing team to ensure timely and accurate submission of claims.

  • Prepare financial and operational reports for leadership review.

  • Track budgets and expenses related to office operations.

Staff Leadership & Development:

  • Hire, train, and evaluate office staff performance.

  • Develop and implement office policies and procedures.

  • Schedule and lead staff meetings to ensure communication and alignment.

  • Handle conflict resolution and promote a positive team environment.

Patient Services & Communication:

  • Ensure a professional, compassionate, and efficient patient experience.

  • Serve as a point of escalation for patient concerns or complaints.

  • Support coordination of care between patients, providers, and other departments.


Qualifications:

Education & Experience:

  • Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field (preferred).

  • 3–5 years of medical office management experience; oncology experience is a plus.

  • Strong understanding of medical billing, coding, and insurance processes.

Skills:

  • Excellent leadership, communication, and interpersonal skills.

  • Proficient in EMR systems and Microsoft Office Suite.

  • Strong organizational and time management skills.

  • Knowledge of medical terminology, HIPAA, and OSHA regulations.
