Position Title: Data Entry / Logistics Clerk

Pay Rate: $10–$13 per hour

Schedule: Monday – Friday, 8:00 AM to 5:00 PM (Weekends Off)

About the Company:

We specialize in commercial refrigeration for cold rooms, serving restaurants, produce warehouses, meat markets, and cold storage facilities. Our company provides refrigeration equipment and materials to clients and resellers, including insulated panels, condensing units, meat cases, glass doors, trim moldings, specialty screws, sealants, and more. We also manage installation projects and offer servicing for cold room systems.

Position Summary:

The Data Entry / Logistics Clerk supports both administrative and warehouse functions. Key responsibilities include data entry, invoice processing, vendor communication, shipment coordination, and inventory tracking. This role requires a detail-oriented, bilingual individual who can balance office tasks with light warehouse support when needed.

Qualifications

  • Authorized to work in the U.S.
  • 18 years or older
  • High school diploma or GED (preferred, not required)
  • Bilingual in English & Spanish (fluency in written and verbal communication required)
  • Training or certification in data entry, office administration, supply chain, or logistics (preferred, not required)

Responsibilities

  • Maintain confidentiality of company, vendor, and customer information
  • Keep office/workspace organized; open and close office as needed
  • Answer and route phone calls; take and forward accurate messages
  • Handle correspondence and deliver to appropriate personnel
  • Document all tasks and communications (emails, texts, calls, notes)
  • Request and negotiate freight quotes for shipments
  • Coordinate pickups, delivery times, and status updates with carriers
  • File invoices and documentation in both digital and physical records
  • Scan and upload receipts into company tracking systems
  • Track and restock warehouse materials; maintain inventory in hard copy and QuickBooks Online
  • Communicate with suppliers and carriers about orders and deliveries
  • Notify management when office/warehouse supplies need replenishment
  • Receive and process small to medium packages
  • Assist accounting with monthly closing tasks and outstanding client accounts
  • Generate reports (inventory, freight A/P, delivery logs)
  • Maintain records of freight companies, receivers, and payment sources
  • Report and escalate delivery delays or damaged goods
  • Prepare packing lists, shipping labels, and customs documentation (if applicable)
