About the Role
We are seeking an experience, detail oriented Construction Project Accounting & Administration Manager to support our growing team. This role combines project accounting, financial reporting, compliance, payroll administration, and operational support for construction projects. The ideal candidate has strong experience in the construction or subcontracting industry, excels in cost tracking and forecasting, and is highly proficient in QuickBooks Online and Certified Payroll processes.
Key Responsibilities:
Project Accounting & Cost Management
- Process Accounts Payable (A/P) and Accounts Receivable (A/R) for multiple construction projects.
- Maintain and reconcile project cost records, including labor, equipment, and subcontractor expenses.
- Track job costs and assist with Work-in-Progress (WIP) reporting, revenue recognition, and project forecasting.
- Prepare monthly, quarterly, and annual financial reports related to project performance.
Financial Compliance & Reporting
- Ensure compliance with federal, state, and contract-specific accounting and reporting requirements.
- Assist with internal and external audits by preparing accurate documentation and reports.
- Maintain strong internal controls and ensure accounting processes follow company policies.
Payroll & HR Administration
- Process weekly and/or bi-weekly payroll, including Certified Payroll compliance for prevailing wage projects.
- Maintain accurate employee records, onboarding documents, and HR-related administrative files.
- Track labor hours, review timecards, and ensure all labor data aligns with project cost tracking.
- Coordinate with management on HR tasks such as benefits administration, policy updates, and employee communication.
Operations & Administrative Support
- Provide day-to-day support to project managers, superintendents, and company leadership.
- Assist with contract documentation, vendor onboarding, and insurance compliance tracking.
- Organize and maintain project files, financial documents, and job-related correspondence.
- Support office administrative functions as needed.
Qualifications
- Minimum of 4 years experience in accounting in a construction or subcontracting company in project accounting, cost control, payroll, or administrative management.
- Must have strong proficiency in QuickBooks Online (CBO).
- Hand-on Certified Payroll experience is required, including knowledge of Davis-Bacon and prevailing wage reporting.
- Solid understanding of construction accounting workflows and job cost structures.
- Strong skills in Microsoft Excel and general financial reporting.
- Excellent organizational, communication, and problem-solving abilities.
- Ability to work independently, manage multiple priorities, and meet deadlines.
Pay $90,000/year
Hours: 8am - 5pm, Monday - Friday
