Job Full Description

Overview: A local education agency is looking for an experienced Administrative Assistant to join their team and provide administrative and organization for the Teaching & Learning Division.

 

Responsibilities

  1. Prepare, review, analyze, edit, and file all correspondence, reports, contracts, agreements, grant applications, flyers, meeting minutes, and other materials. Prepare and distribute contract amendments and Memos of Understanding. Track department service hours and notify supervisor when additional hours are required.
  2. Process incoming and outgoing department mail, email, and telephone calls.
  3. Organize and maintain department files.
  4. Coordinate departmental meetings: prepare agendas, send notifications, order and track supplies, record minutes, track attendance, prepare and maintain sign-in sheets, attend, and assist with online platform delivery, and follow up as needed.
  5. Assist in maintaining fiscal records, preparing and monitoring department budgets and expenditures, prepare budget adjustments as required for state/federal grants, and coding and posting charges into financial and budget software, and grant reporting systems.
  6. Coordinate and assist Special Services Department with professional development offerings. This includes:
  • Completing clock hour requests for related professional development offerings
  • Assisting with class and meeting room set up and tear down as needed; or if remote learning, create breakout sessions, admit participants and set up links
  • Attendance record keeping
  • Assisting in creating flyers and webpage content.
  1. Assist Special Services Department with maintaining a calendar of events for the Department.
  2. Process and route purchase order requests, travel requests, travel claim forms, Time & Effort reports, etc.
  3. Make purchases with agency credit card: code, process, and complete monthly reports for all Department credit card users.
  4. Make travel and catering arrangements and venue reservations.
  5. Purchase and maintain inventory of department supplies, including laptops, electronic devices, testing kits and protocols.
  6. Prepare annual calendars for employees.
  7. Perform other duties as assigned.

 

Qualifications and Education

  1. High School Diploma; AA Degree or equivalent (preferred).
  2. Post-secondary training in office procedures.
  3. Three years related administrative assistant experience.
  4. WA State Driver’s License.

 

Required knowledge, skills, abilities

  1. Must have good human relations and interpersonal skills.
  2. Must have demonstrated ability to keep confidentiality.
  3. Must be able to take initiative when appropriate.
  4. Must have excellent verbal and written communication skills.
  5. Ability to type 50 words per minute.
  6. Proficient in computer skills including use of Internet, Intranet, scheduling programs, e-mail, google, zoom, Microsoft teams, MS Office Suite (Excel is required); desktop publishing and graphics preferred.
  7. Mus have strong organizational skills; ability to prioritize multiple assignments and complete them independently.
  8. Ability to work independently, exercise independent judgment, and meet deadlines.
  9. Ability to work effectively under pressure.
  10. Ability to perform bookkeeping functions.
  11. Ability to maintain and organize files and schedules, to record events, and to analyze data.
  12. Ability to prioritize multiple assignments and complete them independently.
  13. Ability to work flexible days and hours. This may include weekends and evenings.
  14. Ability to establish and maintain positive and effective working relationships while demonstrating excellent customer service skills.
  15. Ability to travel; reliable transportation; appropriate auto insurance.

 

Physical requirements

  1. Significant: sitting, vision, repetitive motion, use of computer, calculator, looking at computer monitor
  2. Frequent: talking, hearing, handling paperwork, use of phone, very quiet to moderate noise levels
  3. Occasional: standing, walking, driving, kneeling, squatting, reaching above the shoulder, lifting, carrying, pushing/pulling, lifting up to 50 pounds

 

Pay:
$24.94-$29.02/hour DOE
