TYPE OF WORK:
Property Manager
SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS:
The following attributes are desirable for job success: experience in managing/leasing multifamily
properties, certification in the multi-family (ARM, CPM, AMS, PCAM, etc.) ability to communicate effectively, safety conscious, ability to assert
yourself, preference for detail work, ability to work well under pressure, self-motivation and self-direction,
ability to work with/without direct supervision and the ability to become a team leader.
SUMMARY OF FUNCTIONS:
Responsible for managing the receivables for the property(s) and effectively increasing the
property(s) financial performance.
Responsibility for weekly/monthly reports to include receiving and posting of dues, with additional
responsibility to assist the property manager with the coordination of day-to-day activities of the
development. Assist in maintaining office clerical, filing and record keeping systems. Identify and
strive to meet the resident’s needs.
MAJOR DUTIES AND RESPONSIBILITIES:
Duties may include, but are not limited to:
1) Administrative:
a. Respond effectively to telephone inquiries to residents.
b. Monitor telephone and walk-in traffic at office.
c. Follow-up with residents regarding maintenance requests, management requests,
payment requests, and online portal requests.
d. Adhere to local, state, and federal Fair Housing regulations and best practices.
2) File Administration:
a. Maintain receivables and satisfactory owed limits.
b. Maintain legal records/files.
c. Input daily activity.
d. Distribute letters and notices to residents.
3) Assist with resident relations:
a. Prepare and process resident service requests.
b. Assist with resident problems and complaints concerning payments, service
requests, etc.
c. Assist with preparation of newsletters and promotion flyers.
d. Assist with the planning of community activities and events.
e. Assist senior manager with board of director relations.
5) Accounting policies and procedures:
a. Collect, record & deposit payments.
b. Maintain account records and journals and make bank deposits.
c. Help to prepare weekly and monthly reports as required.
d. Help to prepare legal actions, as necessary.
e. Help to process files for title companies.
6) Supervisory responsibilities - in absence of the property manager, provide “in charge”
responsibilities for the property(s) and staff. These responsibilities include being “on call”
24 hours with pager, managing and delegating staff for maximum performance of their
respective job functions.

ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the senior property manager. In absence of the senior property manager,
supervises and schedules maintenance and on-site personnel. Works with other property
managers, administrative division staff, staff members of other developments, outside vendors
and service providers.
OTHER REQUIREMENTS:
Hours of Work: 8:00 a.m. to 5:00 p.m., Monday through Thursday and 8:00 a.m. to 3:00 p.m.
Friday.
