Job Title: Resource Database Specialist

We are seeking a detail-oriented and motivated Resource Database Specialist to support the maintenance and expansion of a statewide community resource database. This role is essential in ensuring accurate, up-to-date information is available to both internal staff and the public through a resource directory platform. In addition to database responsibilities, this position provides support to call center operations when needed.


Position Summary

The Resource Database Specialist is responsible for collecting, organizing, and maintaining information within a comprehensive resource database used by community resource specialists and the general public. This role involves building relationships with service agencies, conducting outreach, ensuring data accuracy, and supporting information and referral services as needed. The ideal candidate will represent the organization professionally and align with its mission, vision, and values in all interactions.


Key Responsibilities

Database Management

  • Maintain and update the resource database to ensure accuracy and completeness, including annual updates and interim changes
  • Follow established policies, procedures, and work plans to meet database goals and expansion efforts
  • Collaborate with agencies to improve and update resource listings
  • Apply appropriate taxonomy and geographic classifications to ensure information is easy to locate
  • Respond promptly to inquiries and assist external agencies with updates and corrections
  • Generate reports for stakeholders
  • Provide support and guidance to users of online database tools
  • Encourage agencies to report updates in a timely manner

Community Outreach and Education

  • Research and identify new agencies and programs for inclusion in the database
  • Attend community meetings, health fairs, and events to promote available services
  • Participate in outreach and marketing initiatives as assigned
  • Complete special projects as needed

Disaster Coordination

  • Assist in disaster response and recovery efforts
  • Update the database with relevant resources during emergencies

Administrative Duties

  • Perform general clerical tasks such as data entry, report preparation, filing, and correspondence
  • Maintain marketing materials and documentation
  • Follow operational standards and support accreditation efforts
  • Complete additional duties as assigned

Call Center Support (Training Provided)

Information and Referral Services

  • Provide accurate information about health and human services via phone, email, text, and occasional in-person contact
  • Assess client needs and identify appropriate resources
  • Offer referrals and, when necessary, advocacy support
  • Assist clients in locating alternative resources when needed
  • Use database systems effectively and apply crisis intervention skills when appropriate

Call Documentation

  • Accurately document all client interactions in accordance with established protocols
  • Maintain complete and confidential records
  • Write clear and concise case notes
  • Ensure all required forms and data fields are completed

Follow-Up Services

  • Conduct follow-up calls to assess whether referrals were effective
  • Document outcomes and provide additional assistance as needed

Outreach and Relationship Management

  • Engage with community partners and maintain positive working relationships
  • Attend events and meetings as assigned
  • Adapt work schedule when necessary to support outreach, special projects, or emergency response efforts

Education and Experience

  • Experience in call centers and/or social services preferred
  • Experience with outreach, marketing, or community engagement
  • Background in database entry, recordkeeping, and report preparation required
  • Certification as a Community Resource Specialist – Database Curator (CRS-DC), or willingness to obtain within one year
  • Proficiency in Microsoft Office/365 and database systems

Physical Requirements

  • Extended periods of sitting and working at a computer
  • Frequent use of the telephone and communication systems
  • Occasional standing for presentations or events
  • Some lifting, walking, and travel, including occasional overnight travel
