About the Role

We’re seeking a highly capable and organized Office Manager / Right-Hand to serve as the operational backbone of our growing company. This pivotal role is ideal for someone who thrives in structure, loves systems, and is energized by transforming big ideas into daily execution.

As the Integrator, you’ll work closely with the company’s leadership to ensure the business runs efficiently, teams are aligned, and strategies are executed with discipline. You won’t just be managing the office; you’ll be managing the rhythm of the entire organization.


Key Responsibilities

  • Operational Leadership:  Drive the day-to-day business operations, ensuring seamless communication and execution across departments (sales, marketing, operations, finance, etc.).
  • Project & Process Management:  Build and maintain the systems, processes, and accountability structures needed to scale sustainably.
  • Manage Executive Schedules: Organize and maintain calendars, schedule appointments, and coordinate meetings to optimize the executive's time.
  • Communication Management: Prioritize and respond to emails and phone calls, acting as a liaison between the executive and internal/external stakeholders.
  • Travel Arrangements: Plan and coordinate travel itineraries, including booking flights, accommodations, and transportation, while managing travel-related expenses.
  • Team Coordination:  Act as the hub between departments and leadership, ensuring everyone is aligned and working toward shared goals.
  • Strategic Execution:  Translate high-level vision into actionable plans, track performance metrics, and make real-time adjustments to stay on course.
  • Problem Solving & Decision Making:  Serve as a key decision filter—prioritizing projects, solving operational challenges, and eliminating bottlenecks before they impact performance.
  • Office & Resource Management:  Oversee office administration, vendor relationships, and internal resources to ensure a high-functioning and efficient workplace.

Qualifications

  • 3–7 years in operations, project management, executive support, or similar roles.
  • Experience managing systems, processes, and teams in a small to mid-sized business.
  • Proficiency with office platforms (Google Workspace, Microsoft 365).
  • Strong written and verbal communication skills.
  • Proven ability to manage multiple priorities, deadlines, and personalities.
