Executive Assistant

Position Overview:
The Executive Assistant provides high-level administrative and organizational support to the executive leadership team. This role requires exceptional attention to detail, professionalism, and discretion. The ideal candidate will thrive in a fast-paced environment, anticipate needs before they arise, and ensure that the executives’ time and priorities are effectively managed.
Key Responsibilities:

Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives.

Prepare presentations, reports, correspondence, and meeting materials with accuracy and professionalism.

Serve as the primary point of contact between the executive team and internal/external stakeholders.

Assist with real estate development project tracking, investor communications, and community updates.

Organize board meetings, community planning sessions, and company events.

Maintain confidentiality and handle sensitive information with discretion.

Support in the preparation and review of contracts, proposals, and development documentation.

Track key project milestones, budgets, and deliverables in coordination with the development team.

Handle day-to-day administrative operations including expense reports, vendor coordination, and document management.
Qualifications:
-
Bachelor’s degree preferred or equivalent experience.

Minimum of 5 years of experience as an executive assistant or in a similar administrative support role.

Background in real estate development, construction, or related field strongly preferred.

Excellent written and verbal communication skills.

Highly organized with strong time management and prioritization abilities.

Proficient in Microsoft Office Suite and project management tools (e.g., Asana, Monday.com, or similar).

Ability to work independently and make sound decisions in a dynamic environment.

Strong interpersonal skills with the ability to build relationships across all levels of the organization.
