Position: Office Assistant
Location: Plainville, CT
Employment Type: Part-time to start (20 hours), potential to go full time in the near future
Our client is a reputable electrical contacting company is seeking a dependable and organized Office Assistant to support its operations and help keep projects running smoothly.
Responsibilities:
- Answer phone calls, respond to customer inquiries, and schedule service appointments
- Assist with project paperwork, job tickets, permits, and inspection scheduling
- Perform data entry, filing, scanning and other clerical tasks
- Coordinate communication between the office, field electricians and customers
- Maintain electronic and physical filing systems for project documents
- Enter data into job management or estimating software (e.g. Quickbooks)
- Assist with accounts payable and receivable including monthly reconciliations
- Prepare invoices, basic reports, and correspondence under supervision
- Track and organize vendor quotes, purchase orders, and material lists
- Support management with administrative tasks to ensure efficient daily operations
Qualifications;
- High School diploma or equivalent
- Prior office or administrative experience (construction or trades experience preferred)
- Proficiency with Quickbooks, Excel, and Google Sheets strongly preferred-project management software experience is a plus
- Strong communication and customer service skills
- Excellent organizational skills and attention to detail
- Ability to multitask in a fast-paced environment
- Reliable, professional, and a positive attitude
